Eventus Legal are seeking an Accounts and Administration Assistant to join a successful team based in Skipton, North Yorkshire. The successful candidate will be working with a highly regarded team, with excellent benefits including free parking and Medicash. The role is a permanent position, 5 days per week 8.45am to to 5.15pm.

Role Responsibilities

The successful Accounts and Administration Assistant will have a range of responsibilities within this job, which include:

  • Closing and archiving of paper files. This involves physical filing and retrieval of files in and out of storage
  • Data entry to update the practice’s database by processing the movement of files, wills and deeds that are archived or coming in or out of storage
  • Going to the bank to carry out the daily banking and perform any deliveries or collections including taking parcels to the post office
  • Photocopying as requested to assist with bundles etc.
  • Taking payments from clients both in the office and over the telephone. Processing those payments on PE into either the client or office account accordingly.
  • Providing daily lunchtime cover for the receptionist and at other times as required.
  • Making drinks for clients, visitors and colleagues and keeping the kitchen tidy
  • Opening the daily post and distributing it into the correct pigeonholes, and making enquiries about any unidentified post
  • To enter all financial transactions of the firm in the firm’s computerised accounting system
  • To pay all monies received by the firm into the firm’s bank accounts on a daily basis and to ensure monies are transferred to client deposit accounts to comply with Solicitors’ Accounts Rules
  • To issue regular print outs to fee earners
  • To ensure reminders are issued for outstanding accounts after 28 days - if not paid after 3 reminders to refer the matter to MEI
  • To issue cheques relating to client matters for signature as requested
  • To open a client ledger for each new file opened by a fee earner and to close the same at the conclusion of a matter
  • To carry out conflict checks as requested
  • To produce client ledger information as requested by fee earners
  • To enter fee earners’ time records against clients’ matters on a daily basis
  • To check invoices/completion statements raised by fee earners prior to issuing the same for delivery to clients
  • To discharge all invoices for office expenditure e.g. stationery, etc.
  • To check, reconcile and balance the firm’s office and client accounting records with bank statements on a daily basis.
  • To prepare electronic payments and send same after obtaining director authorisation
  • Notify fee earners of any monies received into the banking system and allocation of the same

Person Specification

The incoming Accounts and Administration Assistant will have the following skills and experience:

  • Strong alphanumeric abilities including at least grade C/ level 5 or equivalent in both Maths and English
  • IT literate with an excellent working knowledge of Microsoft Office
  • An excellent telephone manner
  • Knowledge/experience of general office procedures
  • Knowledge/experience of Solcitors’ Accounts Rules (desirable)
  • Knowledge/experience of accounts/book-keeping procedures
  • Aptitude for figures
  • Good keyboard skills or touch typing (desirable)
