My client is the rapidly growing European subsidiary of a global Film company who specialise in lighting, rigging, generators, etc. The also own film studies as well as facilitate studios for other organisations.

They seek a reliable, self-motivated individual to work as a Fleet and Compliance and Logistics Controller reporting to the Operations Director and Head of Operations.

You must controller will play a pivotal role in the transport logistics of my clients, reporting directly to the Director, Operations and Logistics in all functions relating to Operator licencing, regional vehicle logistics and driver management. The duties include, but not limited to:

Key Duties

  • To manage and control all aspects of the client’s transport services, highlight any areas of concern or non-compliance immediately to the Director, Operations and Logistics.
  • Driver management for HGV drivers operating my client’s fleet, including agency and contractual drivers, ensuring all drivers have correct and up to date qualifications.
  • Management of Operator licence portal and ensuring all vehicles are kept up to date with my clients Operator licences.
  • Scheduling and planning of vehicle assets to ensure the right number of vehicles are available and hiring additional fleet where necessary.
  • Manage the fleet insurance and first line contact with insurers for claims handling.
  • Ensure all Vehicle maintenance checks are up to date, coordinating and scheduling with maintenance contractors.
  • Provide guidance to regional depots regarding fleet and driver compliance.
  • To ensure all administration regarding operator licencing, driver management and vehicle maintenance are kept up to date and records kept in full for successful completion of audits.
  • To ensure regular driving licence checks are completed for all employed, agency and contracted drivers and records kept in line with legislation.
  • To ensure and support with training that all drivers are correctly inducted, and records are kept up to date.
  • Reporting of tacho infringements and vehicle compliance in line with Operator licensing.
  • Monitoring and reporting on daily walkaround checks and vehicle defect reporting.
  • Monitoring and managing remote downloads of tacho reporting.
  • Monitoring and managing driver schedules and driving hours to ensure complete compliance. Records to be kept in line with Operator licencing requirements.
  • Assist and advise on driver scheduling for productions, highlighting areas regarding Working Time and Driving hours.
  • When required, book agency drivers and plan, schedule their movements providing clear direction to ensure they are where they need to be and when production demand.
  • Where required, assist in the fleet logistics for my client in any of their locations.
  • Where required manage fuel cards and collate costs involved from fuel receipts to consolidate accounts.
  • Minimising the fleet costs to my clients with proper planning and organisation.
  • Utilising all telemetry systems to monitor and track vehicles and drivers.
  • Schedule the vehicles and assign drivers to the vehicles to ensure all deliveries, collections and swing movements are completed in line with production requirements.
  • Arranging when required taxis or driver logistics to get the drivers to the right vehicles when production requires.
  • Respond and react to breakdown callouts, providing alternative solutions and ensuring minimal impact to productions.
  • Responding and notifying where required to any accident or road traffic incident.
  • Analyse fleet data and suggest recommendations for improvements in policies and procedures.
  • To challenge and correct breaches of conduct and areas of concern, completing thorough and impartial investigations where required.
  • Originating and contributing to documentation for training purposes, to include procedures and competency skillsets.

Person Specification

  • Experience with the Transport industry essential
  • CPC transport manager qualification desired, but not essential.
  • HGV Class 2 licence and above essential.
  • Must be IT literate with a good understanding of Microsoft office software.
  • Good understanding of operating systems such as RHA analysis software, Microsoft Teams, HGV operator licencing compliance.
  • Very good communication skills.
  • Ability to manage workload efficiently and meet strict deadlines whilst adhering to the priorities of the business.
  • Adaptable to a fast-paced environment with the highest expectations of service and quality.
  • Committed to continual improvement and development.
  • Flexible to work overtime and occasional weekends as the needs of the business require.
  • Willing to, when required, to travel to regional depots for training purposes.
