My client is seeking a proactive and experienced Personal Assistant (PA) to join their Corporate Support Team for a 3-month period. In this vital role, you will support the Director of Operations, providing efficient administrative and operational assistance to ensure the smooth running of services. You will also play a key role in supporting the Executive Assistant with Board-level committees, partnership meetings, and other executive functions as needed.

Description

Key Responsibilities:

  1. Executive Support:

    • Provide administrative and operational support to the Director of Operations, who has the largest remit within the organisation.
    • Assist the Executive Assistant (EA) with Board-level committees and partnership meetings.
    • Provide occasional support to the Chief Executive (CEx), Board, and wider executive team during busy periods or annual leave cover.
  2. Diary and Meeting Management:

    • Manage and coordinate diaries for the Director of Operations, ensuring efficient scheduling of appointments and meetings.
    • Assist with preparation for meetings, including creating agendas and briefing materials.
    • Attend meetings as required and provide professional and accurate minute-taking.
  3. Panel Coordination Oversight:

    • Line-manage the Panel Coordinator responsible for all social work operational meetings chaired by the Director of Operations.
    • Ensure smooth delivery of panel coordination services, including covering annual leave periods if required.
  4. Communication and Call Management:

    • Work as part of a team rota to handle external calls to the company, ensuring professional and efficient responses.
    • Serve as a first point of contact for enquiries, liaising with internal and external stakeholders.
  5. Administrative Support:

    • Support the implementation of good practice across the Corporate Support Team.
    • Assist with special projects and initiatives as directed by senior leadership.

Profile

Key Skills and Experience Required:

  • Proven experience as a Personal Assistant or Executive Assistant in a corporate environment.
  • Strong diary management skills and the ability to prioritise competing demands.
  • Excellent minute-taking abilities, with attention to detail and professionalism.
