About the Role
We are currently seeking a dedicated and experienced Legal Secretary to join a well-established law firm based in South Shields. This is a permanent, full-time role, where you will be providing critical administrative support to a team of Residential Conveyancers. Your role will involve assisting with the day-to-day duties of conveyancing cases, liaising with clients, and managing the flow of documentation. If you have a keen eye for detail, excellent organisational skills, and a background in legal administration, this could be the perfect opportunity for you to thrive in a dynamic and supportive environment.

Key Responsibilities:

  • Provide administrative support to conveyancers, including preparing legal documents and correspondence.
  • Manage client files, ensuring all documentation is up to date and properly stored.
  • Act as the first point of contact for clients, handling inquiries via phone, email, and face-to-face in a professional manner.
  • Coordinate appointments, meetings, and maintain an efficient diary system for the conveyancing team.
  • Process and format legal documents related to property sales, purchases, transfers, and remortgages.
  • Ensure compliance with internal procedures and external regulatory requirements.
  • Assist in the preparation of contracts, transfer deeds, and Land Registry applications.
  • Liaise with external parties such as estate agents, mortgage brokers, and other solicitors to facilitate the smooth progress of cases.
  • Manage incoming and outgoing mail, including distributing documents to the appropriate personnel.
  • Handle file opening, billing, and closing procedures in line with the firm's policies.

About You:

  • Experience: Previous experience as a Legal Secretary or in a similar legal support role is essential, preferably within residential conveyancing.
  • Skills: Strong organisational abilities, attention to detail, and the ability to manage multiple priorities efficiently.
  • Communication: Excellent written and verbal communication skills, with a client-focused attitude.
  • IT Proficiency: Comfortable using legal software, Microsoft Office (Word, Excel, Outlook), and case management systems.
  • Team Player: Able to work collaboratively with colleagues, maintaining a positive and proactive approach.
  • Discretion: You must handle sensitive information with confidentiality and professionalism.
