The Vacancy:

Are you an experienced Legal Secretary, looking for a new challenge that can offer part-time hours?

You will be joining a leading Law firm at their Southampton offices, supporting legal professionals across all areas including Employment, Company, and Commercial law

This part-time role is offered at 21 hours per week (based on a 35-hour full-time equivalent). Ideally, you will have the capacity to work across a 5-day week, making this role suitable for someone looking for shorter working days or 'school hours'.

You will be part of a small, dedicated team of administrative assistants and legal secretaries, providing comprehensive support to our solicitors, partners, and clients.

Responsibilities:

  • File Management: Assist in opening and closing client accounts, conducting necessary legal checks (including AML), and maintaining accurate records and logs of client information.
  • Document Drafting: Create letters from written or audio notes/dictation, ensuring accuracy and high standards of formatting.
  • Client Communication: Assist clients directly via phone, post, and email.
  • Diary Management: Keep client and internal team diaries organized and up to date.
  • Accounts: Assist with timely client billing in collaboration with our finance team.
  • General Administration: Help with general administrative tasks to ensure outstanding client service delivery.

Requirements:

  • Previous secretarial experience in a law firm.
  • Strong communication skills and attention to detail.
  • Experience with dictation tools, case management software, and familiarity with legal practices.
  • Friendly demeanor and a team player.
  • Proficiency in Microsoft Outlook and Word.
  • Enjoy client communication via phone and email.
