Executive assistant – Southampton£15.00 per hour
  • To support the Executive Director and Directorate Management Team to ensure the delivery of best value and continuous improvement in services and implementation of best practice.
  • To recognise and contribute to issues which cut across directorates and portfolios.
  • Report as appropriate to the Executive Management Assistant and Executive Office Manager.
  • Arrange and attend strategic directorate meetings, capturing actions, preparing onward communications and progressing key actions and decisions.
  • To have a working knowledge of the organisation and its operating environment, building close working relationships.
  • Support leaders individually and as a group by collating, identifying, tracking and reporting short, medium, and long-term priorities.
  • Identify, resolve, and escalate issues to the Executive Management Assistant.
  • Work closely with colleagues at all levels of seniority, to proactively forward plan, track requests, collate and circulate relevant information and documentation as required.
  • Manage mailboxes and diaries ensuring the efficient allocation of the Executive Director and the Directorate Management Team member’s time.
  • Organise meetings, events, and appointments, whilst managing all relevant logistics.
  • Field and direct telephone calls, take comprehensive messages and address urgent enquiries.
