We are seeking an Office Administrator with a proactive approach and a keen eye for detail to support our dynamic team. The ideal candidate will have previous front office and administrative experience in a high-volume site-based office.

Day to day of the role:

  • Perform reception duties such as answering calls, screening and directing them appropriately, and taking messages.
  • Greet visitors, ensure they are signed in, and conduct site inductions.
  • Organise meetings and appointments for Supervisors.
  • Manage and distribute incoming and outgoing emails, including arranging courier services.
  • Provide administrative support across departments, including photocopying, scanning, and word-processing.
  • Download client-based information and track gate times for personnel on site, addressing any anomalies.
  • Liaise with the Commercial Cost Controller and complete employee timesheets for payroll submission.
  • Maintain office systems, including filing and stock management of stationery and consumables.
  • Support the invoicing process by correlating information and documents.
  • Assist in arranging purchase orders and maintaining records.
  • Offer administrative support to Supervisors and Management on site.
  • Organise accommodation and travel arrangements for site personnel as needed.
  • Maintain personnel files and training records, ensuring they are up to date.

Required Skills & Qualifications:

  • Previous front office/administrative experience in a high-volume site-based office.
  • Effective oral communication skills, with the ability to provide clear and direct information.
  • Proficiency in personal computers, including word-processing, spreadsheets, presentation software, and database applications.
