Purpose of the Role
To provide administrative support and comprehensive office management, to all aspects of the Managed Equipment Service at the Peterborough City Hospital. Assist the Operations Coordinator as required and support the management team in providing an efficient, effective, and all-embracing Medical Engineering service to PCH, CCC and TCC, this will include adherence to strict demanding timetables and high quality standards.
You will be required to carry out various administrative duties pertaining the overall running of the department. This will include administrative assistance to the Management and the Engineers. The successful candidate will frequently liaise with other members of the Trust in relation to the role. It will be expected for the post holder to be professional and diligent at all times.
Task List
- Provide administrative services to the Peterborough team
- Day to day office management
- Organise meetings to include production of agendas and minutes to a set timescale.
- Data entry into various computer applications/databases including Optim EMS (training provided)
- Scanning and maintenance of engineer’s documents
- Assist with Training administration
- Purchase order co-ordination
- Assist with the management and administration of orders, track deliveries and invoices between Peterborough and head office
- Assist with the receipt of all incoming repairs and requests
- Liaise and arrange meetings/training courses as appropriate for the Peterborough Management team
- Data input for service contract administration
- Carry out general administration of department policies and work procedures
- To liaise and co-ordinate with external customers, companies and other organisations in relation to the Service.
- Ensure Department stationary stock levels and other miscellaneous office items are kept stocked.
- Undertake any other reasonable administrative duties as and when required by the MES Operations Manager
- Attend professional and other training courses, as requested.
- Ensure compliance with all departmental operating and administrative policies and procedures.
- Support of the organisation’s continuous improvement programme
- Investigate thoroughly and satisfactorily resolve product, service or supplier complaints received from customers e.g. deliveries and invoices.
- Communicate effectively with all levels of staff through exchanges of information via electronic and other means.
- Responsible for planning and prioritising own workload, referring to the Peterborough Management team, where necessary
- Identify, discuss and participate in own development and training activities relevant to the post
- Complete associated admin needed to close repairs and PMs as outlined in the Procedures
- Exceed contract KPI’s to ensure customer satisfaction
- Maintain spare part stock wherever necessary
- Maintain service documentation in line with business requirements
- Ensure data integrity within the management systems
- Deal with OEM service staff and management when required
- Attend customer meetings when required
- Participate in and promote the growth of the business
- Uphold confidentiality, GDPR and potentially sensitive information requirements
