Service Coordinator

Location: Southend, Essex

Salary: £23,795.00 per annum

They have the people, the products, and the financial resources to manage any project from start to finish. They provide Design, Supply, Installation, Commissioning & Maintenance of Fire & Security systems.

The Role

Working in a team with a supervisor, two other Senior team members and six other Coordinators you will be part of an environment which empathises both individual and team working skills. You will share the workload with your fellow coordinators while also accumulating defined areas of responsibility over time. The team is structured to promote constructive conversations to deal with issues and in addition there are weekly departmental meetings and also one to one discussions with your manager.

Your role will be to assist in the daily running of their service department which has multiple Service engineers and a number of regular partners they work with. You will be responsible for booking in the engineer’s work, speaking to customers, responding to internal and external emails, reviewing & invoicing jobs, and completing a multitude of other administrative tasks. You will be working within their PPM Bookings team which will involve teamwork as a large part of your role.

The role is varied and can be fast paced at times whilst equally can be very rewarding working on your own or with the team to resolve issues.

Full training will be provided, and they don't expect candidates to have any prior industry knowledge.

  • Handle the workload associated with supplying preventative maintenance & reactive maintenance services
  • Contact clients to book service visits taking into account specific job and access requirements
  • Liaise with contractors where required for specialist services
  • Handle telephone calls and emails from clients and engineers dealing with any queries
  • Categorise and resource the correct engineer for reactive calls based on skills set and proximity to work location
  • Liaise with other departments within the business to get issues and situations resolved
  • Produce reports as and when required by clients and senior staff members
  • Review portals for some of their clients and ensure these are looked after and information processed/uploaded as and when required
  • Create Risk and Method Statements and raise Work Permits for jobs
  • Review completed jobs checking the work has been carried out correctly and compliantly, any quotations have been raised by the engineer and that any follow-up service work is notified to the client and booked in
  • Raise invoices for completed jobs
  • Perform all duties professionally, promptly, and efficiently
  • Act as an ambassador for the company
