Job Title: Legal Secretary

Location: Southport (Hybrid)

Remuneration: Salary Dependent on Experience

Contract Details: Permanent, Full Time (35 hours per week)

Responsibilities:

  • Effectively manage all department files (both hard copy and digital) on the SOS Case Management System, including Matter Opening, ID checks, Matter Closing, and Matter Archiving.
  • Produce and file documents, ensuring all copies and scans are accurately managed as required.
  • Maintain compliance with relevant regulatory standards and adhere to Office Manual processes throughout file management.
  • Oversee the billing process, liaising with the Finance team as necessary.
  • Prepare contracts, SDLT, and Land Registry applications with precision.
  • draught documents for clients based on instructions from Fee Earners under supervision.
  • Regularly update and maintain the case management system to ensure accurate records.
  • Handle telephone calls for the team, providing professional and efficient communication.
  • Actively contribute to operational reviews and continuous improvement initiatives within the team.

Skills and Experience:

  • Demonstrated excellence in both written and oral communication skills.
  • Strong commercial awareness, with experience in residential property administration.
  • Exceptional attention to detail and the ability to prioritise tasks effectively to meet deadlines.
  • Self-motivated with a genuine desire to learn and progress within the role.
  • Proficient IT skills, with experience using case management systems, particularly SOS being desirable.
  • Strong organisational and planning abilities to manage multiple tasks.
