JOB DESCRIPTION

Job Title: Accounts Assistant full time 37.5 hours per week, on-site, part time hours can be accommodated

Reporting to: Head of Accounts

Scope: The role of Accounts Assistant supports the Accounts team in providing timely and effective financial reporting to further the Company’s business objectives.  The primary responsibility is to assist in accurately recording, updating and completing the accounting system ledgers, including the Cash Book, Purchase, Sales and General ledgers.  The role also involves supporting communication via email and telephone within and outside the business.

Key Responsibilities:

  • Accurately maintain the reconciled bank account (cash book) in the accounting software;
  • Assist with maintaining the Purchase and Sales ledgers, including invoice and credit note postings, statements and query follow-ups;
  • Record stock movements and raise materials purchase orders, liasing with the Production team;
  • Upload information to portals for Carbon Accounting;
  • Manage the Accounts and APInvoices email inboxes, resolving issues and queries;
  • Process and record monthly credit card expenses;
  • Raise and send valuations schedules, resolving issues and queries;
  • Prepare payments to Suppliers and Supplier Statement reconciliation;
  • Handle queries from customers, suppliers and staff;
  • Additional tasks as requested by management to support the team and the company.

Person Specification:

  • Solid understanding of basic bookkeeping and ledger management;
  • Consistently maintains high levels of accuracy and attention to detail;
  • Strong communication skills, both verbal and in writing, excellent customer service skills;
  • Handles conflicting time-critical tasks effectively.  Prioritises workload, meets deadlines and escalates issues appropriately;
  • Works well independently and collaboratively;
  • Proficiency in MS Office, in particular Excel and accounting software.  Quick to learn new software, crucial during our technology transition.
