My client, a leading financial organisation based in St. Helens Town Centre, are seeking an organised and conscientious Office Administrator to join their busy office. They are recruiting this role on a full-time, permanent basis and are looking for someone to start as soon as possible!

Role Description:

This role is pivotal in managing my client’s front desk operations and ensuring efficient administrative support, particularly in handling client interactions and documentation management. The successful candidate will be responsible for documents of a sensitive financial nature, so client confidentiality is of the utmost importance.

Day-to-day of the role:

  • Serve as the first point of contact for visitors and clients, ensuring a welcoming and professional reception experience.
  • Manage incoming calls and correspondence, including emails and postal mail, directing them to appropriate departments.
  • Responsible for accurate filing and document management using the Iris system, ensuring all client information is updated and securely handled.
  • Oversee the electronic dispatch of documents and confirm receipt with clients, maintaining meticulous records of important information.
  • Ensure timely billing and invoicing, keeping track of financial documents as required.
  • Assist in preparing for client meetings and maintaining a tidy and organised office environment.

Specification

  • Proven experience in an office administration/reception role is essential, with previous experience within financial/accountancy setting advantageous.
  • Strong organisational and time-management skills.
  • Excellent communication and interpersonal skills.
  • Proficiency in using office management software, with specific experience in Iris being advantageous.
  • A customer-oriented approach with the ability to manage multiple tasks efficiently.
