Macildowie are looking for an ambitious Secretary to join an incredibly well-established company in Stafford. The ideal candidate will have strong audio typing, organisation, and communication skills. They will also be proficient in Microsoft Office, and are a proactive, team-oriented individual with attention to detail and confidentiality. Legal experience is advantageous.

Salary: £25,000

Working Hours: 9:00am - 5:00pm

Please note this is an on-site and full-time, permanent position.

KEY RESPONSIBILITIES:

  • Prepare accurate correspondence and documents swiftly via audio-typing and word processing.
  • Understand and efficiently use case plans for file management.
  • Produce standard forms and procedures independently.
  • Prioritise letters and documents over attendance notes.
  • Manage filing, including opening, closing, and retrieving client files.
  • Handle mail, photocopying, and document dispatch.
  • Schedule appointments, meetings, and maintain diaries.
  • Answer calls, take messages, and ensure prompt communication.
  • Provide a professional and client-focused service.
  • Maintain meeting rooms and provide refreshments when required.
  • Support colleagues with workloads and provide cover when necessary.
  • Assist and guide junior or temporary secretaries.
  • Maintain confidentiality and adhere to compliance procedures.
  • Oversee office equipment, including photocopiers and fax machines.
  • Seek cost efficiencies in office supplies and adapt to new practices.
  • Complete legal forms with instruction and follow accounts procedures.
  • Support fee earners in maximising efficiency and chargeable hours.
  • Manage incoming and outgoing post on a rota basis.
  • Provide emergency reception cover when needed.
  • Stay updated on IT systems and request training if necessary.

REQUIRED EXPERIENCE:

  • Accurate audio and copy typing.
  • Efficient keyboard skills.
  • Full working knowledge of Microsoft Word and Outlook 2010.
  • Computer literate.
  • Organisational skills including efficient diary management.
  • Ability to communicate clearly.
  • Pleasant telephone manner.
  • Literate and numerate with neat legible handwriting.
  • The ability to receive training and retain knowledge on application software.
  • Able to work in a team.
  • Good knowledge of the firm's business.
