An Office Receptionist and Travel Co-Ordinator is required by this unique organisation based in Staines-upon-Thames, Middlesex. The purpose of the Office Receptionist and Travel Co-Ordinator role is to provide a high standard of reception services ensuring that guests are welcomed and to co-ordinate booking travel & hotel arrangements in accordance with the companies set requirements.
Key tasks of the Office Receptionist and Travel Co-Ordinator include:
- Opening of the office and daily office set up.
- Supporting staff with parking arrangements
- Welcome all visitors, offering refreshments and notifying relevant hosts.
- Handle deliveries, arranging couriers and postal services, ensuring appropriate and timely distribution.
- Monitor the Reception In-Box/e-Calendar and action any meeting/catering requests.
- Support the required room setup (furniture & AV equipment)
- Conduct regular inspections to ensure that Office facilities (including Reception/Kitchen/Meeting rooms) are in good working order, sufficiently resourced and tidy - keep notices/signage up to date
- Ordering office supplies and maintaining adequate stock levels
- Arrange suitable cover arrangements throughout working hours and during planned absences as appropriate; pairing arrangements will be put in place within the Travel team.
- Booking and confirming travel & hotel arrangements in accordance with the set requirements, using the companies travel agent’s online tools and relevant Apps to best effect.
- Providing travel itineraries as required.
- Obtaining appropriate approvals, including for any budget overspend.
- Adhering to a 5 day turnaround time unless the request is more urgent.
- Creation of relevant purchase orders and the marking of such purchase orders as “received” in the system as appropriate, assisting with supplier invoicing queries as necessary.
- Gathering and logging feedback on hotels and service providers to inform future procurement of similar services.
- Providing input on opportunities for service improvements by the companies travel provider.
- Monitoring the Risk Rating of Overseas Destinations and updating the Travel Risk Base Assessments as required.
- Ad hoc duties and tasks, as required.
The ideal candidate will have good organisation and communication skills who possesses a friendly demeanour and in return you will receive a salary of between c£24k + superb benefits including amazing pension scheme + training. 2 days Working From Home upon probation completion
