Job Summary:

We are seeking a highly organized and proactive Personal Assistant to support the Executive team at a well-known manufacturing and distribution company. The ideal candidate will be a detail-oriented professional with excellent communication skills and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to the Executive team, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Communication: Act as the primary point of contact between the Executive team and internal/external stakeholders. Handle correspondence, emails, and phone calls professionally and promptly.
  • Meeting Coordination: Organize and prepare for meetings, including drafting agendas, taking minutes, and following up on action items.
  • Document Management: Maintain and organize important documents, files, and records. Ensure confidentiality and security of sensitive information.
  • Project Assistance: Assist with special projects and initiatives as directed by the Executive team. This may include research, data analysis, and report preparation.
  • Event Planning: Coordinate company events, conferences, and executive off-sites, ensuring all logistics are handled smoothly.
  • Office Management: Oversee office supplies and equipment, ensuring the office environment is well-maintained and functional.

Qualifications:

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Excellent organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle confidential information with discretion.
  • Strong problem-solving skills and attention to detail.
  • Ability to work independently and as part of a team.
