The primary purpose of this role is to provide administrative support to core business operations through effective coordination, planning, and administration. This includes resource scheduling for technical teams, creating customer quotations, processing sales and purchase orders, invoicing, and managing property and facilities. The role requires a highly organised individual who values planning, teamwork, and meeting deadlines and quality standards.

Key Roles and Responsibilities:
- Managing Multiple Inboxes: Handle both individual and shared inboxes efficiently.
- Sales Team Support: Process new sales opportunities in the CRM system, create quotations, gather vendor pricing, and send approved quotations to customers. Address initial customer queries or issues.
- Renewal Management: Ensure client agreements are correctly entered into the system and vendor portals. Schedule renewals and monitor client license usage against agreements.
- Office Management: Maintain a clean, safe, and functional office environment, monitor stock of supplies, and support visitor scheduling and hosting. Organise office events and ensure routine safety audits are conducted.
- Security and Asset Management: Liaise with third-party facilities and support suppliers, monitor service agreements, and manage asset administration for both company and client assets.
- Resource Scheduling: Schedule resources across technical teams for project work, on-call rotas, maintenance, site visits, and annual leave. Coordinate travel and accommodation arrangements.
- Operations Support: Manage end-to-end sales and purchase order processing, administer goods in/out processes, and organize dispatch and delivery of goods. Invoice customer orders as processed or advised by projects.
- Finance Team Support: Assist with month-end closing activities, prepare documentation and reports, and communicate across business areas to ensure efficient administration processes.
- Documentation and Process Management: Maintain documentation and processes in line with company quality standards, drive the use of automation, and identify areas for operational support.
Essential Skills and Qualifications:
- Educated to GCSE level with minimum grades A-C/5-9 in Maths and English.
- Highly motivated, capable of working independently and as part of a team, proactive in finding solutions.
- Highly organised and efficient, with excellent attention to detail and the ability to manage multiple tasks while maintaining confidentiality.
- Strong planning and organisational skills, excellent written and verbal communication.
- Customer-focused, capable of delivering results and exceeding expectations through effective planning and administration.
- Proficient in Microsoft 365 products, particularly Excel and MS Teams.
- Previous experience in a sales admin/order processing role.
