Proactive Personnel are currently recruiting for Receptionist/ Co- ordinator to join one of our clients in Stockport.

Hours: Monday - Friday 8:30am - 16:30pm 40hours per week

Rate: £11.85per hour

Duties:

  • Greet visitors, staff and contractors to the property and ensure the access procedure is followed.
  • Complete the site inductions to all that attend the property
  • Co-ordinate work permits when required
  • Management of contractors to the property to ensure works are authorised.
  • Ensure signing in book is kept up to date to ensure roll call can be done in the event of the fire alarm being activated.
  • Ensure site procedures and processes are followed at all times.
  • Liaise with supply chain staff of any problems and pass to Facilities Manager.
  • Reporting of site defects to the Facilities Manager
  • Responsible for incoming, outgoing post including special delivery including arranging DHL collections and recording details for invoicing etc.
  • Assist any staff with any admin tasks.
  • Order and update domestic deliveries and arrange monthly invoicing for a two-site portfolio.
  • Receive and deal with telephone calls.
  • Responsible for issuing of site/staff visitor with access passes
  • Assist with weekly fire alarm testing and responsibility for the Fire Marshall role in checking the roll call for the building.
  • Order site stationery and any other consumable requirements
  • Arrange lunches for meetings and taxis for visitors.
  • Update site distribution lists on pre-agreed frequencies.
  • Booking and managing meeting rooms
  • Ensure Reception is tidy, and any consumables are stored and well-managed.
  • Ensure site tuck shop is stocked and balanced.
  • Monitoring checks of the building to ensure all is in order and safe.
  • Customer care and always exercising due diligence, engaging in the proactive prevention of site accidents/incidents/near misses. (E.g. by ensuring any spills are cleaned up within an efficient time and risks removed)
  • Ensuring records are kept up to date, commensurate with site administration and client requirements.
  • Reception / Concierge duties.
  • Liaison with third party representatives.
  • Support the Facilities Manager in the day-to-day operation/function of the site. E.g. raising supplier instructions/purchase orders, goods receipting etc. system and process auditing and supplier engagement.
  • Any other ad hoc tasks that are required to ensure that the staff and visitors are supported were possible.
