Our client is seeking a highly organised and efficient Office Administrator to their team on a FTC. The successful candidate will be responsible for providing administrative support to ensure efficient operation of the office. The Office Administrator will communicate via phone and email, ensuring that all administrative duties are completed accurately and delivered with high quality and in a timely manner.

Main Duties:

  • Tracking Invoices once received
  • Typing payment notices, numerical checks, PO checks etc.
  • Chasing Payment Notices to ensure issued on time
  • Issuing Payment Notices
  • Tracking Payment Notices have been issued Contractor Invoices
  • Tracking Invoices once received
  • Chase surveyors for completion of Payment Notices / help typing and preparing payment notice
  • Comping of payment notice
  • Issuing Payment Notices
  • Tracking Payment Notices have been issued
  • Comp checking, amending, issuing, tracking and uploading to Viewpoint all cost reports
  • Typing of hand written or typed meeting minutes, sense check and formatting
  • Uploading / downloading to Viewpoint as requested
  • Typing or creating reports, letters, specifications, cost plans, organograms, project directories and FEA’s etc
  • Collating the relevant documents, formatting, typing, printing, binding, posting etc
  • Assisting with the running of the office such as shopping orders and maintenance issues
  • Assisting on updates on the CDM Database
  • Printing of drawings, creating drawing review sheets, updating comments, issuing review sheets
  • Liasing with Staff and Clients to ensure travel / hotel bookings suit

About you:

  • Proficiency in MS Office (MS Excel, MS Word, and MS Outlook)
  • Excellent time management skills and ability to multi-task and prioritise work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organisational and planning skills in a fast-paced environment
