Client Services Executive, The Role:I am recruiting a Client Services Executive for Clear Future Financial Planners, a progressive financial planning firm based on the outskirts of Stroud (GL10), with easy access to junction 13 of the M5. The role of Client Services Executive (Financial Planning Assistant / Administrator) involves providing administration and support to the Financial Planners, the team and the clients. This includes preparing for client review meetings, processing new business and supporting the team in delivering an exceptional financial planning service to clients.

The Person:We are happy to consider either a highly competent administrator who enjoys and would like to remain in a varied and involved support role, or someone who would like to progress within the financial planning industry and work towards becoming Diploma qualified and eventually Chartered (training and support with exams will be provided).

Either way, the successful Client Services Executive (Financial Planning Assistant / Administrator) will be proactive, efficient and organised with excellent administrative and customer service skills. They will enjoy being busy and will be motivated by the opportunity to make a difference from day one, working in a forward thinking and ambitious business, where your contribution is noticed and valued.

The successful Client Services Executive (Financial Planning Assistant / Administrator) is likely to have experience of working in a regulated professional services environment, but they will not be expected to know the intricacies of financial planning as training and support will be provided.

Salary and Benefits: £27-33,000 (dependant on experience) plus benefits including 23 days holiday (increasing with length of service) + bank holidays + pension + free parking + medical cover + life insurance + supported volunteering opportunities.

While largely office based, we are happy to facilitate a degree of home working, and we will also consider flexible or part time working arrangements for the right candidate.

Client Services Executive (Financial Planning Assistant / Administrator), responsibilities include:

  • Provide a friendly and professional point of contact for clients and enquiries, ensuring that relevant service standards are delivered throughout the year.
  • Organise and diarise client meetings, prepare client documentation and correspondence pre and post meetings, support Financial Planners in the delivery of reviews and ensure action points resulting from client meetings are diarised and dealt with promptly.
  • Check accuracy and completeness of new business documentation.
  • Process business applications accurately and efficiently, ensuring that all supporting documentation is maintained in a compliant manner and in line with company standards.
  • Send letters of authority, gather accurate information and liaise with (and chase) product providers to ensure timely and accurate responses to clients.
  • Obtain illustrations and application forms and produce portfolio valuations.
  • Ensure fund switches/rebalances are carried out accurately and within company timescales.
  • Create and maintain accurate client records on back-office systems, platforms, and any other IT systems e.g., cashflow & risk profiler.
  • General administration to include answering the phone, dealing with incoming post, managing office stationery, processing invoices, providing management information etc.

Client Services Executive (Financial Planning Assistant / Administrator), skills and experience required:

  • Involved administrative and customer service experience gained in a professional services (preferably regulated) environment.
  • Efficient and organised with a keen eye for detail and an aptitude for technology.
  • Professional appearance, confident manner and excellent communication skills, both verbally and in writing.
  • A proactive team player with a can do attitude, adaptable to change, keen to learn and to participate fully in the successful operation of the business.
