Receptionist

Nouvo Recruitment are working with our fantastic client based in Stratford - Upon - Avon to bring on a full-time receptionist to join their amazing team.

The duties of this role will include:

  • Open and sort all incoming mail and scan/distribute as appropriate.
  • Frank all outgoing mail at the end of the day and arrange any courier services and Special/Recorded Deliveries.
  • Prepare meeting rooms and provide refreshments for all meetings.
  • Book meeting rooms and manage reception/internal meetings calendars.
  • Provide overflow business support to departments when needed.
  • Cover reception desk and meet and greet clients/visitors when the need arises.
  • Provide overflow support to main switchboard operators - answer/forward/direct calls across the firm.
  • Open the office in the morning when required and set up client areas for the day.
  • First aider & fire marshal responsibilities.
  • Monitor EFax inbox - send outgoing and distribute incoming faxes.
  • Monitor/order stationery supplies for all sites.
  • Oversee attendance of all maintenance contractors and service engineers to the building.
  • Responsibility for all general office utilities to include: monitoring mail supplies and crediting the franking machine;
  • Responsibility for all office housekeeping to include: keeping meeting rooms and kitchen areas tidy, monitoring kitchen supplies and ordering groceries;
  • Responsibility for all premises related tasks to include meter readings, monitoring/reporting maintenance issues and overseeing delivery of equipment.
  • Test fire alarms and keep the logbook up to date.
  • Any duties requested by the Operations Director/Facilities Manager as and when the need arises.
