Reed HR are seeking a dedicated and detail-oriented HRĀ Assistant to join our clients small and friendly HR team on a permanent, full-time basis.

Please note this is a fully office-based role.

My client is open to the successful candidate studying CIPD should you not already be qualified.

The role:

The ideal candidate will play a crucial role in supporting various HR functions, ensuring smooth operations and effective communication within the department. This position requires strong organisational skills, proficiency in HR systems, and the ability to manage multiple tasks efficiently.

You will have 1 years' experience within a HR Administration role - Essential.

Responsibilities:

  • To be actively involved in recruitment by assisting line managers and the Head of PeopleĀ in the preparation of job descriptions, posting of advertisements and overseeing the recruitment process
  • Liaise with recruitment agencies and negotiating preferential terms of business
  • Keep vacancies up to date on the website and job boards and relevant social media platforms
  • Participate and support recruitment events with the Head of PeopleĀ and department heads
  • Ensure that starter and leaver procedures are completed and submitted to Payroll
  • Support and implement effective on-boarding plans.
  • Assist the Head of People in the creation of a robust induction process.
  • Produce offer letters, contracts and joining information for new starters.
  • Monitor secondments and fixed term contracts.
  • Support applicable staff to undertake apprenticeships and liaise with the Head of People on the best use of funding.
  • Complete prerequisite checks on applicants – DBS checks, right to work, references etc.
  • Conduct stay and exit interviews with all relevant staff and share feedback appropriately to identify ways of improving and developing the employment experience
  • Administer employee probation and appraisalsĀ 
  • Ensure records are maintained and information available to Head of People, departmental managers and employees
  • Highlight any concerns to the Head of PeopleĀ 
  • Assist with training requirements resulting from the probation or appraisal feedback
  • Assist with note taking where required
  • Proactively support managers to handle sickness absence effectively through the application of the relevant policies and procedures
  • Maintain employee records according to policy and legal requirements
  • Oversee the HR database ensuring the database is fully up to date with relevant information
  • Assist the Head of People in reviewing and updating company policies and procedures
  • Produce reports from the HR database as and when required
  • Assist the Head of People in supporting absence issues
  • Review employment and working conditions to ensure legal compliance
  • To assist with the payroll running/submission, if required
  • Ensure that all starter leaver paperwork is submitted to Payroll
  • Communicate contractual changes to Payroll
  • Assist with the checking of Payroll as required
  • Undertake projects as directed by the Head of PeopleĀ 
  • Develop and support relevant and realistic staff wellbeing initiatives
  • Support staff and volunteer engagement activities
