Procurement Analyst

The role of a Procurement Analyst is to ensure that all WHSmith Non-Trade contracts across the WHSmith group are set up and effectively maintained in the central contract library managing the supplier due diligence process and reporting via Power Automate and PowerBI.

What you will be doing:
  • Setting up and maintaining the central Group Procurement contract library and database to reflect current and new supplier contracts, archiving expired contracts and providing an auditable trail of information to comply with internal audit policies
  • Managing the new supplier set up process and supplier due diligence which will include the setup of NDAs, financial checks and interaction with other teams to ensure they have completed any necessary Supplier Security Assessment forms and PII data visibility assessments for each supplier to ensure full compliance with business policies
  • Regular maintenance of all documents used by Group Procurement such as Master contract templates, tender templates and liaising with the Legal team where appropriate to ensure templates are up to date and reference current and appropriate legislation
  • Working closely with the Group Procurement team, to ensure the appropriate tender process (RFI/RFP) is being followed and work with relevant project team members to agree, issue and collate responses for review
  • Raise and manage a low volume of Purchase Orders and resultant invoices on behalf of the Group Procurement Director
  • Supporting the reporting cycles in Group Procurement which will include contract expiry reports, Experian data reports, supplier finance change reports and other ad hoc reports such as supplier spend data all via PowerBI

What we are looking for:
  • Youll ideally have some previous Procurement administration experience from within a commercial environment
  • Good MS Word, Excel and PowerPoint skills
  • Ideally knowledge of Microsoft PowerBI and Power Automate and/or a willingness and aptitude to learn
  • Highly organised, with excellent written and verbal communication skills
  • The ability to operate to tight deadlines, with high attention to detail and have a proactive mindset to deliver
