Your new companyHays are working closely alongside a well-established Legal firm who are looking to appoint a Legal Support Assistant on a permanent basis. This is a 12 month contract which does have the possibility to extend.Your new roleAs a Legal Support Assistant your role will involve be to provide a high level of legally related administrative support to the department assisting fee Earners within the department performing tasks as directed which may be of a complex nature. As a Legal Support Assistant your role will involve:

  • High attention to detail is required in dealing with clients and on all files.
  • Deliver an agreed level of fee earning and performance targets of up to 1 hour per day.
  • Track, monitor and time record all time spent on client matters and specifically activities that attract a client fee.
  • Ensure that time is recorded and billed appropriately where applicable.
  • Liaise with the Legal Support Service team on matters as required relating to file opening, dictation etc.
  • Gather the initial client details electronically.
  • Liaise as required order to obtain any additional information required in order for the file to be opened.
  • First port of call for all department-related enquiries.
  • Set up initial appointments on new matters for fee earners.
  • Anticipate as well as respond to clients' requirements, dealing with queries within agreed remit.
  • Maintain diaries and organise internal and client meetings.
  • Prepare post and correspondence as required.
  • Filing preparation, maintenance and updating of client files.
  • Taking detailed instructions from clients and contacts including new matters (but not providing advice) and generally assisting fee earners to progress matters, including arranging and sitting in on client meetings to take notes.
  • Liaising with clients and contacts as required and enhancing fee income by adding value to existing client relationships and by developing profitable relationships with new clients.
  • Monitoring movement of documents and files including backlog.
  • Responsible for all aspects of the administration, including recording all own time spent on client matters and ensuring that time is billed promptly.
  • Payment of invoices and other payments, e.g. to clients or contacts as and when required. E.g. giving quotes and ensuring clients are aware of other services offered by the department and firm.
  • Answering telephone calls and dealing with queries within remit.
  • Taking details and/or messages where required.
  • File administration including forms, prepare bundles and indexing bundles of documents under instruction. What you'll need to succeed

In order to be considered for this role you will need experience in the following:

  • GCSE's Grade 4 or above (or equivalent) including English and Maths.
  • 3 A levels or equivalent
