You will manage the commitments of the Regional Operations Director, ensuring key tasks and priorities are effectively managed and completed such as managing their diary preparing presentations, organising meetings & site visits, and minute taking.

As a Personal Assistant you will be:
- Establishing and maintaining efficient office systems and ensure the provision of a full secretarial and administrative service for the Regional Operations Director.
- Showing initiative in the absence of the Regional Operations Director to ensure that urgent matters are identified and fielded to an appropriate person.
- Co-ordinating reports for submission to various external and internal bodies and departments.
- Organise meetings, venues, booking accommodation where required and prepare agendas for such commitments.
- Ensuring post and e-mails are actioned promptly, as well as accessing and managing the email inbox of the Regional Operations Directors.
- Liaising with external parties and agencies as required.
- Establishing and maintaining an effective filing system.
- Maintaining regional team HR files, ensuring Right To Work / ID, DBS checks are up to date and compliant. Ensuring PIN renewals with the respective professional bodies are updated whilst maintaining accurate records.
- Processing and managing the Personal Professional Development (PPD) applications from approval to completion whilst maintaining the L&D spreadsheet and managing staff expectations.
- Delegated responsibility for sign off for CAPEX, NON CAPEX and staff expenses.
- Supporting Hospital Directors and their sites to fulfil Regional Operations Directors requests.
To be successful in this role, you will:
- Have significant administration experience at executive and senior management level (Board experience would be an advantage)
- 4 GCSE’s at grade C or above (including English and Mathematics) or equivalent
- Be highly organised with a friendly and professional approach
- Be able to anticipate and fulfil requests
- Have excellent communication skills, both written and verbal, with the ability to adapt writing style according to audience
- Work positively and flexibly across a range of tasks simultaneously
- Be computer literate
- Have excellent diary and time management skills
- Have the ability to work independently
- Keep a high level of confidentiality and discretion
- Enjoy supporting others, with a caring nature and resilience
