Job Opportunity: Project Administrator We are looking for a detail-oriented Project Administrator to support our Project Management team. You will play a vital role in ensuring smooth project operations by managing client communications, coordinating meetings, and assisting with documentation and reporting. About the Role Client & Stakeholder Engagement:
  • Meet and greet visitors attending site for project management meetings.
  • Coordinate visits with Project Managers and manage necessary bookings for site attendance.
  • Liaise with project contacts to keep stakeholders informed.
  • Attend key project meetings (KOMs) for minute taking and distribution, helping stakeholders align on project goals and progress.
Project Coordination:
  • Assist in preparing and distributing bi-weekly/monthly progress reports and ensure documentation is properly filed.
  • Compile and prepare project and technical documentation for client submissions.
  • Manage and coordinate client and expeditor visits, including scheduling FATs, conference room bookings, and arranging visitor lunches.
  • Support Project Managers and the Head of Projects with general and ad hoc tasks.
  • Expedite documentation to ensure timely submissions and flag potential risks to mitigate project delays.
  • Help maintain and update project schedules, ensuring deadlines are met and potential delays are communicated.
  • Assist with procurement entries for work orders and BOM amendments when necessary.
Systems & Administration:
  • Ensure project information is up-to-date on internal systems (AX and CRM), paying attention to product delivery dates.
  • Coordinate project meetings, preparing agendas, taking minutes, and distributing them.
  • Compile and chase job pack documentation required to start production.
  • Handle general administrative tasks for the Project Management team as needed.
