We are seeking a skilled and proactive individual to assist and support the Group Procurement Manager in managing Planned Maintenance activities across the organization. The role involves ensuring statutory compliance, maintaining accurate supplier and contractor documentation, and overseeing the organization’s central intranet for Supply Chain and Technical Compliance.
Key Responsibilities:
- Serve as the first point of contact for suppliers, contractors, and internal site employees regarding facility-related inquiries and issues.
- Manage document control and administer the Computer-Aided Facilities Management (CAFM) system via the central intranet.
- Maintain and regularly review the group-wide intranet, reference library, and information hub related to Supply Chain and Technical Compliance.
- Produce and provide key information for supplier, product, and service tenders.
- Maintain and manage all compliance documentation for suppliers and contractors.
- Conduct research on new suppliers, products, and services.
- Create standardized forms, correspondence, and other documentation.
- Collate service and remedial reports.
- Oversee and update the Planned Maintenance Schedule for the group.
- Compile annual costs for Planned Maintenance contracts and services.
- Raise purchase orders to cover annual Planned Maintenance contracts and services.
- Manage procurement of stationery, office catering, cleaning, and sanitary products.
- Perform any additional duties as requested by the Group Procurement Manager.
Key Skills and Experience:
- Advanced proficiency in Excel and database management (essential).
- Demonstrated ability to work independently and resolve challenges using initiative.
- Experience in a similar role (preferred).
- Strong numerical and analytical skills (essential).
