We have an exciting opportunity with our amazing new client for an Office Administrator. They are looking for a high-quality Administrator to join their busy office function.

Key Responsibilities-Administrator

  • Maintain and update holiday and sickness records
  • Add and reallocate MECH BOMs (Bill of Materials) in Sage when changes occur
  • Act as the Sage/Espi contact for employees in the UK and Netherlands
  • Conduct weekly checks of sales orders and purchase orders still open
  • Record machine orders, assign job codes, and manage deposits.
  • Create and complete sales orders for machine and spare parts, issuing invoices as required
  • Prepare and manage shipping documents for machines and spare parts
  • Liaise with shipping providers and arrange logistics for machine and spare part shipments
  • Prepare import/export documents and complete customs declarations for shipments from Dutch and US offices
  • Handle all service visit enquiries, provide quotes, and issue invoices
  • Provide quotes and manage sales and purchase orders for spare parts
  • Investigate and resolve customer requests promptly and effectively
  • Conduct credit control, following up on customer payments
  • Assist with general requests and communication from teams in the US and Netherlands
  • Support and manage other staff as needed
  • Share telephone duties to ensure smooth office operations

Qualifications & Requirements-Administrator

  • Proven administrative experience in a similar role
  • Proficiency with Sage 200 (2+ years) and Microsoft Office (1+ year)
  • Strong data entry skills with high accuracy
  • Excellent organisational and multitasking abilities
  • Effective written and verbal communication skills
  • A proactive, problem-solving mindset with the ability to work independently and collaboratively
