About the Role: This is a varied role providing critical support to project managers, ensuring smooth day-to-day operations. You will take charge of a wide range of administrative duties and help maintain efficient workflow across projects. This position is well-suited to someone who can adapt to changing priorities and enjoys being hands-on with logistics, scheduling, and general office administration.
Key Responsibilities:
- Serve as the main point of contact for reception duties, greeting visitors and managing phone calls.
- Provide diary management and scheduling support for multiple managers.
- Assisting in the organisation projects, handling last-minute changes to staff schedules.
- Maintain and update the job calendar to reflect new availability accurately.
- Generate, obtain, and manage quotes and purchase orders for internal and external clients.
- Coordinate logistics, including equipment and transport bookings.
- Book accommodation & travel arrangements, as well as registering staff for training courses.
- Allocate costing across various projects, ensuring accuracy with quotes and purchase orders.
- Supporting by organising equipment and transport.
- Operating in-house CRM software accurately.
Who Are We Looking For?
- Strong organisational and coordination skills, with the ability to manage multiple tasks at once.
- Proven experience in an administrative role, ideally with exposure to operations or project management (experience within events and/or exhibitions an advantage).
- Ability to handle diary management and manage changing schedules in a fast-paced environment.
- Proficiency in Microsoft Office, particularly Excel.
- Strong interpersonal and communication skills.
- A positive, proactive attitude and the ability to work effectively in a team setting.
