Pod Trak are currently looking for a Resource Co-Ordinator to join our team in Uxbridge.

This job description reflects the key tasks to be carried out within the role and identifies the level of responsibility but not limited to. The position may also require other duties which are to be carried out from time to time as deemed appropriate by your line manager.

  • Complete a weekly roster to ensure all staff follow the company fatigue policy. This should be revised and reissued throughout the week as a live document.
  • Check and approve time sheets weekly on Chime against the final revision of the roster.
  • Help all staff in the division to ensure they have downloaded and are familiar with Chime and the Pod apps.
  • Spot check travel time on vehicle trackers to ensure correct times are being claimed where applicable.
  • Submit resource requests for additional staff to the Procurement Department / Line Manager in a timely manner.
  • Liaise with external labour suppliers to provide additional support staff as and when required.
  • Complete back-to-work interviews with staff and report to your line manager.
  • Ongoing monitoring and reporting to your line manager on staff timekeeping, presentation, PALS and duty of care to company assets.
  • Maintain a tidy and well-organized workplace.
  • Co-operate fully with any requirement or advice given by the HSE or Pod-Trak HSQE Departments.
  • Liaise with the Training Manager to ensure people are available to attend training events that have been booked for them and added to the roster.
  • Approve (with Contracts Manager), manage and record all annual leave / time off including the submission of Holiday Request Forms.
  • Monitor employee absence and sickness and report any trends to the Contracts Manager. Conduct back to work interviews as required.
  • Arrange hotel bookings for staff when required to manage fatigue.
  • Update Fatigue 360 and utilize in conjunction with the box plan and roster to manage fatigue.
  • Assist project teams keeping their project folders up to date.
  • Carry out general Divisional Administration duties as requested by the Contracts Manager.
  • Liaise with other Resource Co-Ordinators to maximize the use of internal staff across divisions to avoid excess use of agency staff.
  • Proactively manage (chase teams if details missing) the project KPIs ensuring that all teams have completed the following and filed where applicable.
  • Daily Shift Report
  • Daily Signed Task Brief
  • Take 5 on The Pod
  • Weekly PUWER / LOLER returns liaise with Stores
  • Delivery tickets
  • Other Project paperwork as required

Issue monthly KPI summary to Divisional Managers and HSQE showing returns against shifts worked to meet monthly reporting deadlines
