Aspire Jobs are delighted to be working on an exclusive basis with our client, who are aligned to the construction industry. Due to growth, they are now looking for a Workshop Administrator to join their small but friendly team in Verwood.

The role will see you working between the workshop on the ground floor and the main offices on the 1st floor. There is no lift, so you must be physically fit to go between the two.

The role is all about taking some administrative tasks off of the admin and workshop teams. Our client will consider an office junior or someone who is looking for their 2nd or 3rd job role. As long as you are prepared to learn and be flexible in what you do!

As a small business, you will naturally be a multitasker who is flexible and willing and able to "muck in" and complete jobs that may not be in your normal job role.

Some of your roles will see you helping to prioritise the work for the workshop technicians and gently "nudging" them when a more important job comes in!

The successful candidate will:

  • Be computer-literate
  • Have an excellent communication style
  • Have a great sense of humour
  • Have good MS Office experience, including Word and Excel
  • Be able to work autonomously as well as part of a small team
  • Be a quick learner

The offices are relaxed and informal (although professional). There is quite a lot of banter in the offices as well as bad language and dark humour, so if you are sensitive then this wouldn’t be the right environment for you! A thick skin and a great sense of humour are required!

There is a lot of juggling of tasks within this role, and you must be able to prioritise those effectively. This is a busy office and any equipment that develops a fault means their customers have downtime which they can’t afford. Therefore, you must be good at prioritising and multitasking.

Job Duties

  • Booking In customer and hire fleet jobs into the in-house system
  • Raising estimates and following up with quotes sent
  • Stocktake and stock control
  • Ordering parts and accessories
  • Sending out service reminders
  • Maintaining the system to ensure it is up-to-date
  • Preparing customer service and hire fleet jobs
  • Managing third party repairs, including sending and recording
  • Dealing with customers face to face and on the telephone and email
  • Assisting with the hire and logistics team
  • Any other tasks to help with the smooth running of the workshop
