Admin Support Officer / PA to Service Manager

We are seeking an Admin Support Officer to provide high-quality secretarial and administrative support to Service Managers and other senior managers within the Children in Care/Corporate Parenting Service. This role is ideal for someone who thrives in managing multiple administrative tasks and handling sensitive information with discretion.

Day-to-day of the role:

  • Provide a comprehensive administrative support service to Service Managers and other senior managers, including tasks like bulk data input, typing, diary management, photocopying, and producing correspondence.
  • Coordinate the Service Manager’s electronic calendar and manage diary schedules.
  • Process confidential correspondence on behalf of the Service Manager, adhering to strict timescales and standards.
  • Act as the first point of contact for the Service Manager, handling routine enquiries and requests for information independently.
  • Arrange and manage logistics for meetings and conferences, including room bookings, agenda preparation, and minute-taking.
  • Produce accurate and timely reports as required by the Service Manager.
  • Take responsibility for personal continuous development, participating in training as necessary to maintain and enhance skills.

Required Skills & Qualifications:

  • Knowledge and understanding of business administration systems and procedures.
  • Understanding of data protection, confidentiality, and information security principles.
  • Experience communicating confidently with staff at various levels, partners, and the public.
  • Proven experience in a similar role, preferably within a local government or confidential environment.
  • Proficient in diary management and minute-taking.
  • Ability to present information clearly and professionally adhering to plain English standards.
