Salary: Up to 32,000 per annum

Location: Wakefield (office based)

Reports to: Director

Working hours are 8am - 5pm, Monday to Friday.

Our client is a leading provider of powered access & plant hire. With a commitment to excellence in both service and product, they are seeking a dedicated Personal Assistant to support two directors and contribute to the continued success of their operations.

Job Summary:

Symmetry Recruitment is acting on behalf of our client to find an experienced and highly organised Personal Assistant. This crucial role will provide comprehensive administrative support to the Directors of an established powered access and plant hire business. The successful candidate will be responsible for managing schedules, coordinating meetings, handling communication, and assisting with a variety of other tasks that ensure the smooth operation of the executive office. A high level of discretion, organisational acumen, and the ability to manage multiple priorities will be essential for success in this role.

Key Responsibilities:

  • Calendar & Schedule Management: Efficiently manage the Director's calendar, scheduling and coordinating meetings, appointments, and travel. Ensure the Director is well-prepared for all engagements, including providing necessary materials and briefings.
  • Communication & Correspondence: Handle incoming emails and phone calls, drafting responses as needed and prioritising urgent matters. Ensure effective communication flow by screening calls and filtering correspondence.
  • Travel Coordination: Oversee all aspects of travel planning, including accommodation, transport, and itineraries. Ensure all travel documentation is accurate and up-to-date.
  • Document Management & Administrative Support: Prepare, proofread, and edit various documents, reports, presentations, and other correspondence. Maintain important files and ensure they are organised and easily accessible. Assist in organising and coordinating key meetings, conferences, and events.
  • Confidentiality & Information Management: Handle sensitive and confidential information with discretion. Keep the Director informed of internal and external updates, ensuring timely communication of important matters.
  • Project Support: Provide administrative assistance for various projects and initiatives as assigned by the Director. Collaborate with internal teams to help ensure project milestones and deadlines are met.
  • Team Collaboration: Work closely with other members of the team to ensure smooth operations, providing support as needed across the business.

Required Skills and Experience:

  • Proven experience as a Personal Assistant or Executive Assistant, preferably within the hire, logistics, or a similar industry.
  • Excellent organisational skills with the ability to multitask and prioritise effectively in a fast-paced environment.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and other relevant software tools.
  • Exceptional attention to detail and strong problem-solving abilities.
  • A high degree of discretion, integrity and professionalism, particularly when dealing with confidential information.
  • Ability to work independently as well as part of a team.
  • Flexibility and adaptability to shifting priorities and dynamic business needs.
