This position plays a vital role in ensuring the seamless operation of the estate agency’s sales division, providing essential administrative and customer service assistance to the sales team, allowing the agents to concentrate on closing property transactionsKey Responsibilities:

  • Prepare, organize, and maintain all documentation related to property sales, including contracts, legal documents, and sales files
  • Ensure internal systems (databases, CRMs) are kept up-to-date with property and client information.
  • Serve as the first point of contact for incoming calls, emails, and walk-ins, addressing client inquiries and directing them to the appropriate team member.
  • Support marketing campaigns, including email blasts, social media updates, and printed materials for open houses.
  • Schedule property viewings, valuations, and meetings between clients and agents
  • Update clients on their property’s status, including feedback from viewings, offers, and progression updates.
  • Support estate agents by managing the sales progression process, ensuring that all paperwork is processed and completed in a timely manner
  • Conduct background checks, such as verifying buyer information and ensuring financial readiness for property transactions.

Qualifications & Skills:

  • Excellent organizational and time management abilities.
  • Strong written and verbal communication skills.
  • Competency in using CRM systems, property management software, and Microsoft Office (Word, Excel, Outlook).
  • Ability to manage multiple tasks and work under pressure.
  • Knowledge of the property market and sales process is advantageous.
  • Detail-oriented and proactive.
  • Ability to work both independently and as part of a team.
  • Customer-focused with a friendly and professional demeanor.
