Job Purpose

To provide full PA and secretarial support to the Chemical Pathologists at SMH and WGH for duties associated with the Lipid Clinic and also duties to the clinical head of the Biochemistry Department. The ability to communicate effectively with colleagues, other members of staff, consultants and general practitioners is essential, as is the ability to deal politely and sensitively with Typpatients and their relatives.


Job Responsibilities:


1. To provide a complete secretarial service, including audio transcription of medical dictation and ensuring appropriate follow up action is taken.

2. Deal with queries, either by telephone or face to face from patients regarding attendance at the lipid clinic.

3. Liaise with medical records regarding the operation of the Lipid clinic.

4. Other general secretarial duties including filing and photocopying.

5. Sort and return clinic notes to the medical records department after each clinic

6. Arrange diary appointments for company representatives etc for the consultant chemical pathologists.

7. Use the hospital Care Record Service (CRS)/Care Flow for clinic functions in line with the trust policy and procedures, including taking new referrals and booking patients in, also follow up appointments after each clinic.

8. Deliver and receive prescription forms

9. Complete Bluteq application forms for high cost drugs

10. Maintain and manage the generic lipid clinic email inbox

11. Maintain, manage and action primary care referrals on Electronic referral system (ERS) in a timely manner following clinical input made by consultants.

12. Patient appointment booking, amending and completing outcome appropriately on Care Flow in a timely manner

13. Maintain appropriate Excel databases relevant to the lipid clinic

General Duties:

1. Responsible for ordering stationery supplies for the department.

2. Support raising invoices and internal transfers for private work performed in department, if required.

3. Support recording the details of patient numbers attending the Phlebotomy department.

4. When the laboratory manager is not in the office / on leave


5. Takes the minutes of the monthly Chemical Pathology laboratory department minutes.
