Job Overview:
We are seeking a proactive and detail-oriented Commercial Assistant to support our Commercial and Operational teams. This role is primarily administrative and requires a strong ability to manage relationships, monitor financial information, and ensure effective communication across departments.

Key Responsibilities:
- Supplier Management:
Identify potential supplier sources.
Vet suppliers and subcontractors to ensure they meet company standards.
Develop and maintain strong relationships with suppliers and subcontractors.
- Financial Monitoring:
Monitor financial information and budgets to ensure cost-effectiveness.
Check invoices for accuracy.
Log queries on invoices to suppliers.
- Reporting and Documentation:
Prepare and submit monthly reports related to financial and operational performance.
Produce and maintain supplier and subcontractor statements in relation to their accounts.
Maintain and update commercial contract documentation, issuing it to internal and external stakeholders.
- Administrative Support:
Input and retrieve data from the in-house computer systems.
Carry out general administration tasks as directed by department heads.
Arrange and communicate meeting agendas and minutes.
- Communication:
Handle telephone communications with site staff, suppliers, and other departments.
Address general enquiries from other departments within the business.
- Tender Support:
Work alongside Quantity Surveyors to prepare and issue tender documentation to the supply chain.

Qualifications and Skills:
Previous experience in a similar administrative or commercial role, preferably within the construction or retail fit-out sector.
Strong organizational skills and attention to detail.
Excellent verbal and written communication abilities.
Proficient in using computer systems and software for data entry and reporting.
Ability to build and maintain relationships with suppliers and subcontractors.
Familiarity with financial monitoring and invoicing processes is advantageous.
