About the Role

Are you an enthusiastic and proactive individual looking for a new challenge? We're seeking a Fleet Coordinator to join our Fleet & Compliance Team, playing a vital role in managing our fleet of vans across the UK and Northern Ireland. You'll ensure vehicles remain compliant, well-maintained, and cost-effective while prioritizing safety and delivering outstanding customer service.



Key Responsibilities

As a Fleet Coordinator, your role will involve:

  • Managing compliance processes across the service division.
  • Collecting and analyzing data from various sources (e.g., field HHTs, vehicle tracking devices) and presenting insights to management via monthly dashboards.
  • Preparing data for investigations and disciplinary reviews.
  • Monitoring engineer compliance with HHT systems.
  • Overseeing vehicle maintenance, servicing, and roadworthiness.
  • Building strong relationships with third-party suppliers.
  • Collating P11d payroll data annually for submission to HMRC.
  • Validating business/private mileage claims.
  • Supporting in-night engineer deliveries, ensuring SLA commitments are met.
  • Handling Gas Safe Registration and RIDDOR reporting.
  • Keeping fleet costs under control.
  • Collaborating with the Field Management Team to resolve emerging issues.
  • Ensuring fuel branding compliance.
  • Reporting non-conformance with company processes.
  • Onboarding and maintaining subcontractor contracts and registrations.
  • Monitoring driver behavior and advising on corrective actions.


What You'll Need to Succeed



Essential:

  • Competency in Microsoft Excel for spreadsheet/data analysis (basic formulas).
  • A valid UK driving license (must be willing to drive a van when required).
  • A proactive, solution-oriented mindset.


Desirable:

  • Previous experience in fleet management.
  • Background in compliance roles.
  • Experience using a mobile workforce system.
  • Familiarity with vehicle tracking systems.
