An exciting opportunity has risen for an Executive Administrator to join the Team. The successful candidate will provide administrative support to the Leadership Group and will deputise, in the case of absence, for the PA to the Principal and Chief Executive.
This is a varied role which will require a high level of integrity. The ability to communicate confidentiality with a range of colleagues and stakeholders is essential.
You will have a proactive approach and possess exceptional organisational skills and be able to work independently and as part of a Team. Experience of minute taking, and knowledge of MS office are also key requirements of the role.
Proven experience in an administrative role is an essential requirement.
This is a part time role working 30 hours per week Term Time Only and will be predominantly based at our Watford Site with travel across our Hemel Hempstead and Luton site's as required.
MAIN PURPOSE OF JOB
To work alongside the College PA providing support to the College Leadership Group. Ensuring that administrative support is highly effective, customer centred and that all work is carried out in accordance with agreed College procedures and quality standards.
DUTIES AND RESPONSIBILITIES
- Maintaining accurate, comprehensive, and accessible records for Directors to ensure any information can be retrieved quickly and easily.
- To support the Leadership Group by managing diaries, arranging meetings and where necessary providing administrative support for such meetings.
- To type up letters, reports, agendas and minutes and any other general tasks using Microsoft packages as required
- To undertake administrative organisational duties to ensure that processes and systems are completed to a high standard
- To prepare spreadsheet and database information as required and to access systems in order to retrieve information
- Proactively deal with enquiries and liaise with appropriate staff
- To deal with telephone enquiries, some of a sensitive and/or confidential nature and prioritise messages needing a response
- To liaise with a wide variety of contacts both internal and external
- To receive and provide hospitality to visitors
- To make travel and accommodation arrangements as required
- To photocopy and carry out general administrative tasks
- To order and maintain stationery and stock supplies
