Samples and Office Coordinator

We are seeking an Office Administrator to join our client’s team at their Watford office. The role of the Samples and Office Co-ordinator will typically involve managing the flow of product samples within an office environment, including receiving, organising, distributing, and tracking them. On any one day you will receive and distribute between 10-50 Parcel/cartons to internal teams. While also performing standard administrative tasks for the different Teams as well as managing office supplies and assisting with general office operations. This is largely a physical role with manual handling tasks on a daily basis.

Requirements:

  • Relevant industry experience.
  • Self-motivated, able to manage own workload and be a team player.
  • Competent IT skills - Outlook, Excel, Word, PowerPoint.

Roles and Responsibilities:

  • Overall management of the design development office.
  • General office administration: ordering stationery and photocopy paper, OHL boxes, Tesco shop, and managing couriers.
  • Management of brand compliance systems.
  • Upload Jpegs to the BC system, monitor the system for approvals and disapprovals, and inform the relevant product developer.
  • Liaise with India on any brand compliance information they may be missing or require.
  • Liaise with the operation teams relating to orders being placed and the upload of designs to the BC for approval.
  • Send out products to relevant country suppliers or buyers.
  • Receive parcels and boxes and distribute the contents to the relevant person.
  • Collate all relevant paperwork into files for the accounts department.
  • Liaise with cleaning contractors when needed on the hygiene of the office.
  • Aid the product teams in hanging and preparing samples ready for customer meetings.
  • Manage and organize the stock rotation in the rolling racking, keeping records of what and where collections are stored.
  • Assist the product team with the seasonal garment rotation in the showrooms.
  • Organize the stationery shelves.
  • Box products for sample sales and send them out as needed.
  • Aid product developers in boxing and categorizing collections not required to be out on rails.
  • Flatten and dispose of cartons to keep the front of the office clean and tidy and dismantle any unused rails.
  • Liaise with Unit 1 collection couriers that have been delivered.
  • Provide support to all members of the design and product team.
