We are seeking a Veterinary Receptionist to provide first-class customer service and ensure the smooth and efficient administration of our reception and its procedures. This role is crucial in supporting the clinical activities within the practice and requires someone who can maintain a professional, friendly, and welcoming persona at all times.
Day-to-day of the role:
- Reception Work:
- Greet and assist clients, visitors, and suppliers at the practice.
- Maintain a tidy reception and waiting area.
- Manage appointment bookings and ensure vets are informed of their schedules.
- Handle payments and queries using the Practice Management system.
- Update and maintain accurate client information and diary entries.
- Prepare and manage client requests for medications and prescriptions.
- Telephone Answering:
- Answer calls promptly, providing a friendly and professional service.
- Redirect calls and messages to appropriate team members and ensure follow-ups.
- Register new clients, manage first payments, and send welcome packs.
- Support the veterinary team by managing lab results, messages, and equipment bookings.
- Administrative Tasks:
- Maintain office equipment such as printers and photocopiers.
- Support the marketing team with articles and information.
- Handle client correspondence and queries efficiently.
- Manage administrative details for pre-purchase examinations and liaise with all parties involved.
- Prepare and send reports and raise charge sheets for medications and lab fees.
Required Skills & Qualifications:
- Proven experience in a reception or administrative role, preferably in a veterinary or medical setting.
- Excellent communication and interpersonal skills.
- Ability to handle multiple tasks efficiently and with a proactive approach.
- Strong organisational skills and attention to detail.
- Proficiency in using office and practice management software.
