Office Administrator

My client is looking for a good all round office administrator to take on a variety of office tasks from fleet management to facilities.

Office Administrator Role

The Office Administrator is a very varied role, reporting to the Administration Manager and providing administration and communication support.

Reporting primarily to the Administration Manager for main duties, the role will also be responsible for providing key support for the Management, Admin, Operation and Technical Teams

Key Tasks

Responsible for fleet administration:

  • Maintaining the vehicle log for servicing/ repairs etc
  • Arranging vehicle servicing through communication with operations team
  • Updating insurers with new vehicle/returned vehicle details, including MID.
  • Updating congestion charge and dart charge accounts with changes to fleet
  • Logging of PCNs, communication of PCNs to company vehicle drivers
  • Liaising with Admin Manager to include any PCN deductions from payroll
  • Ensuring licence information is held on file for all users and that this complies with our insurance terms

Responsible for facilities administration:

  • Uploading meter readings to the utility portals
  • Liaising with contractor service providers for PPM/callout visits
  • Weekly fire alarm testing

Other administration duties as required to aid service delivery, quality review and output, and financial matters, including:

  • Management of the incoming post
  • Circulating post to the relevant internal recipient
  • Ordering of stationary, office sundries etc

Skills & Experience

  • Proficient in Microsoft Office, technology and software
  • Excellent organisational & communication skills
  • Strong attention to detail
  • Experience in fleet/facilities administration advantageous, although not essential
  • Higher education qualification to degree level is preferable but not essential
