Working hours: Mon – Fri – 8hr shifts

We are looking for a skilled and proactive Office Manager/Schedule Planner to oversee our back-office operations. The successful candidate will lead a team of two schedulers/planners and a customer/data liaison professional. This role requires excellent organisational abilities, expertise in scheduling and planning, and a strong understanding of street works processes. As an Office Manager/Schedule Planner, you will play a crucial part in ensuring smooth operations and will directly contribute to the successful delivery of our smart metering projects.

We are looking for someone who can start immediately to help:

  • Establish and refine essential processes.
  • Familiarise themselves with the project platform.
  • Conduct interviews and recruit an additional scheduler prior to the programme launch.

Duties & responsibilities

  • Team Management:
    Lead, support, and oversee the back-office team, consisting of two schedulers/planners and a customer/data liaison professional.
    Assign tasks and monitor team performance to ensure optimal efficiency and productivity.
  • Scheduling and Planning:
    Supervise the creation and management of schedules for smart metering installations and street works.
    Ensure all activities are scheduled in line with local authority requirements and operational priorities.
    Proactively identify and resolve any scheduling conflicts to maintain smooth operations.
  • Street Works Coordination:
    Ensure full compliance with street works regulations, including the timely submission of permit applications, notices, and reinstatement requirements.
    Collaborate with councils and other stakeholders to minimize disruptions and secure necessary approvals.
  • Customer and Data Liaison:
    Manage the customer/data liaison professional to ensure all customer interactions and data handling meet company standards.
    Resolve escalated customer concerns promptly, ensuring customer satisfaction.
  • Process Improvement:
    Identify areas for improvement in back-office operations to enhance overall efficiency.
    Implement best practices and establish standard operating procedures to streamline workflows.

Skills & experience as an office manager/schedule planner

  • Demonstrated experience in scheduling and planning, preferably within the utilities sector or a related field.
  • In-depth understanding of street works procedures, including permits and compliance with regulations.
  • Strong leadership and team management capabilities.
  • Exceptional organisational skills with the ability to multitask effectively.
  • Proficient in data management and the use of reporting tools.
  • Excellent written and verbal communication skills.
  • Capable of working under pressure and meeting tight deadlines.
