TristoneNash are working with a provider of affordable housing, who are looking to recruit an expert Asite Document Controller on an interim basis.
The main function of this role is to lead the migration of project documentation onto the platform. The role involves managing, organising, and transferring documents while ensuring compliance with the organisations standards and industry best practices. The successful candidate will support the project teams in optimising document control processes within Asite.
Key Duties include:
- Overseeing and executing the migration of project documents from existing systems to Asite.
- Organising, managing, and maintaining digital documents following company standards and procedures.
- Working closely with project managers and stakeholders to ensure accurate and efficient document control.
- Utilising and helping manage Asite workflows, folder structures, metadata tagging, and access controls for projects.
- Conducting data validation and quality checks to ensure document accuracy and integrity pre and post migration.
- Providing support and training to project teams and stakeholders on Asite functionalities and best practices.
- Feedback on the document control procedures to support continuous improvement.
- Monitoring and tracking document submissions, approvals, and revisions to ensure compliance with project timelines
- Generating and maintaining document control reports, dashboards, and logs as required.
- Identifying and troubleshooting technical issues related to Asite and coordinate with the Head of Digital Building Information to resolve.
To be successful with this position, we are looking for someone with:
- Proven experience as a Document Controller with expertise in Asite.
- Strong understanding of document management processes, workflows, and industry standards such as ISO19650 and the UK BIM Framework.
- Experience in migrating project documents from legacy systems to a new platform.
- Knowledge of housing, construction, engineering, or infrastructure projects (preferred but not mandatory).
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.). and Microsoft SharePoint.
- Ability to work under tight deadlines and swiftly resolve or escalate issues as they arise.
- Familiarity with other document management systems (Autodesk Construction Cloud, Aconex, SharePoint, Procore, Viewpoint etc.) is a plus.
