The Recruitment & Compliance Coordinator is responsible for managing the recruitment cycle while ensuring compliance with CAP 2330 AvSec Recruitment Guide and aviation security regulations. This role involves attracting and engaging candidates, conducting background checks, maintaining compliance records, and ensuring that all airfreight personnel meet necessary security and regulatory standards. The Coordinator will collaborate with HR, hiring managers, and regulatory bodies to uphold aviation security and recruitment best practices while ensuring the efficient scheduling of staff.

Key Responsibilities

  • Write and post attractive job adverts that resonate with potential candidates, utilizing SEO best practices to maximize visibility on job boards and social media platforms.
  • Maintain regular communication with candidates and clients via phone, email, and video calls to provide updates, gather feedback, and ensure a smooth recruitment process.
  • Manage and update the recruitment database, ensuring candidate information is accurate, up-to-date, and compliant with security and GDPR regulations.
  • Track recruitment metrics and generate reports to improve hiring processes.
  • Check and update candidate availability daily/weekly, ensuring workforce planning aligns with operational needs.
  • Confirm staff start times on a daily basis, ensuring all personnel are aware of their scheduled shifts.
  • Work closely with operational managers and team leaders to ensure smooth onboarding and deployment of new hires.
  • Monitor attendance and punctuality, escalating any issues to the relevant teams.
  • Conduct thorough background checks, including identity verification, employment history, and criminal record checks in compliance with CAP 2330 guidelines.
  • Verify employment references, self-employment periods, and any gaps in employment history.
  • Ensure all new hires complete the required aviation security training before commencing employment.
  • Maintain compliance records and ensure they are available for CAA audits and regulatory inspections.
  • Ensure all recruitment and compliance processes align with CAP 2330 and aviation security regulations.
  • Prepare and maintain audit-ready documentation for internal and external reviews.
  • Support compliance audits by providing necessary reports, responding to inquiries, and implementing corrective actions when required.
  • Stay informed of legislative changes and update recruitment and compliance policies accordingly.
  • Implement and maintain policies related to secure recruitment, data protection, and background screening.
  • Ensure HR and recruitment teams are aware of and adhere to GDPR and aviation security data retention policies.
  • Provide guidance to candidates and employees regarding security vetting and compliance procedures.

Qualifications & Experience

Experience

  • Minimum 2-3 years of experience in recruitment, HR compliance, or aviation security.

Skills & Competencies

  • Strong understanding of CAP 2330 guidelines and aviation security compliance.
  • Excellent recruitment skills, including job advertising, interview coordination, and talent management.
  • Ability to build and maintain strong relationships with candidates, clients, and regulatory bodies.
  • Highly organized, detail-oriented, and proactive in managing recruitment, compliance, and scheduling tasks.
  • Strong verbal and written communication skills, with the ability to explain complex compliance requirements clearly.
  • Tech-savvy, with experience using ATS (Applicant Tracking Systems), scheduling software, and compliance management tools.

Work Environment

  • Hybrid role with occasional travel to recruitment events and training sessions.
  • 2 days working from home
  • Working Hours 10:00-14:00 Monday to Friday
  • Ability to work in a fast-paced, high-security environment while managing multiple priorities.
