My client is a leading Pension Scheme. It is based in superb modern offices in West Drayton and is looking for a responsible and organised person to be its Facilities Co-Ordinator. This is an office-based role, for 5 days per week, and 5 hours per day (flexible). You will be responsible for ensuring the office runs smoothly and enabling the 50 staff members to focus on their roles by performing the following duties:

  • Arange for visitors to be given security passes, their car registrations to be given to premises security, and to collect them from reception.
  • Ensure kitchens are clean and properly stocked with tea, coffee, milk, etc
  • Book meeting rooms and order lunches
  • Make travel arrangements for executive staff (organising Taxi's etc)
  • Deal with regular servicing and contracts for office machinery such as printers
  • Be a point of contact for building maintenance issues (fire and security alarms, cleaners, etc).
  • Issue visitor passes for external clients
  • Maintain files for on-site accidents.
  • Liaise with the cleaning contractors to ensure hygiene standards are met within the premises.
  • Ensure all parcels/packages are signed for on arrival
  • Book/Cancel meeting rooms
  • Organise same day/overnight couriers as required
  • Issue new starters ID passes on arrival, ensure IT department has set up email addresses for new staff, assist with on-boarding
  • Ordering stationary for the building using online ordering system.
  • And a range of other tasks as they arise which are relevant to the smooth running of the office.

You must be personable, IT literate (able to use Word, basic Excel and have the ability to use other systems on which training will be provided) and have a well-organised, "plan-ahead" type of approach to your work.
