Key Responsibilities:
As the PA to the Managing Director, you will provide comprehensive business and personal administrative support, demonstrating initiative and professionalism. Your duties will include:
- Travel Coordination: Managing travel arrangements, including flights, hotels, transfers, restaurants, and meeting agendas.
- Email Management: Drafting, typing, sending emails, and organising correspondence.
- Meeting Preparation: Scheduling, preparing documents, organising files, and creating presentations.
- Call Handling: Managing incoming calls, taking messages, and filtering sales calls assertively.
- Event Management: Organising exhibitions, corporate events, and staff functions, including Christmas parties.
- Office Administration: Overseeing office operations, coordinating opening/closing procedures, and managing cleaners and maintenance staff.
- HR Administration: Maintaining training records, managing holiday notifications, and overseeing HR responsibilities.
- CRM Maintenance: Ensuring accurate and up-to-date records.
- Expense Handling: Processing and organising expenses.
- Reception and Staff Management: Supervising the Receptionist and Maintenance Supervisor.
The ideal candidate will have the following skills and attributes:
- Have significant experience as a 1:1 PA in a standalone role.
- Be proactive, self-motivated, and able to work independently with minimal supervision.
- Exhibit excellent organisational skills and a keen eye for detail.
- Time Management: Effectively prioritising tasks to meet tight deadlines without compromising quality.
- Adaptability: Remaining calm and resourceful in dynamic and fast-paced environments. Be flexible and adaptable to the needs of the role, including occasional additional hours.
- Problem-Solving: Quickly identifying and addressing issues to maintain workflow and productivity.
- Attention to Detail: Maintaining accuracy and thoroughness even when juggling multiple tasks.
- Decision-Making: Demonstrating sound judgment to make critical decisions under time constraints.
- Communication: Clearly and efficiently conveying information to colleagues and stakeholders during high-pressure situations.
- Resilience: Thriving in challenging circumstances and maintaining focus despite setbacks or interruptions.
