THE ROLE:

This role is an integral position within Marmion, primarily acting as dedicated support to one of the Directors, alongside office/facility management. Responsibilities include administration, scheduling/calendar organisation, and email management, alongside additional ad-hoc duties for the wider business. To ensure your success, you will be given extensive training and a thorough onboarding process, with the Director continually on hand to provide additional support where required!

ROLES & RESPONSIBILITIES:

Administrative Support:

  • Proofread and upload documents to the appropriate systems.
  • Using pre-set templates, prepare appropriate documentation for meetings.
  • Ensure correct documentation is provided to clients and candidates and uploading to the relevant folders.
  • Take notes during meetings and provide summaries highlighting actions.
  • Transfer pre-written client job descriptions to Marmion format/style.
  • Close and relaunch jobs on the appropriate job boards twice-weekly/when instructed (using pre-written job adverts).

Diary Organisation:

  • With full oversight over the Director’s calendar, schedule meetings and send out calendar invites to all parties, ensuring preparation time for meetings is taken into consideration.
  • Provide reminders for events and meetings.
  • Ensure required meeting material is created and uploaded into relevant and accessible folders.

Email Support:

  • With a confidentiality agreement in place, assist with email management.
  • Flag emails to respond to.
  • File responded/actioned emails in the appropriate folder.
  • Proofread emails where required.
  • Assist with application screening for junior roles.

Office / Facilities Support:

  • Assist with facilities management, ensure stationary and other office related items are stocked.
  • Flag items that need replenishing to the senior leadership team and assist with the orders.
  • Prepare meeting material (Marmion merchandise bags) for client meetings.

SKILLS & EXPERIENCE:

  • Previous experience in an Executive Assistant, Personal Assistant, Business Administrator role or similar is highly desirable.
  • Excellent attention to detail, accuracy, time management, and organisational skills are essential.
  • Strong verbal communication, and excellent written communication skills.
  • Proficiency in the Microsoft suite (Outlook, Word, Teams, basic usage of Excel).
  • Previous experience using internal systems (CRMs) and 3rd party softwares (e.g Docusign).
  • An understanding of neurodiversity would be highly beneficial.
  • UK resident with unrestricted right to work in the UK; please note that we cannot offer visa sponsorship for overseas candidates.
