We are seeking a professional, organised, and friendly Legal Receptionist to join our clients team. This is an excellent opportunity to contribute to a dynamic office environment and provide essential administrative support to our legal staff and clients.Key Responsibilities:

Reception Duties:

  • Greet clients and visitors in a professional and welcoming manner.
  • Answer, screen, and direct phone calls promptly, ensuring all inquiries are handled professionally and efficiently.
  • Manage incoming and outgoing mail and packages.
  • Monitor office supplies and coordinate stock ordering.
  • Maintain a clean and organised reception area.

Administrative Support:

  • Provide general administrative assistance to legal teams, including filing, document preparation, and data entry.
  • Assist with scheduling meetings, appointments, and conference calls.
  • Update client records and ensure confidentiality at all times.
  • Prepare client-facing documents and correspondence, as required.
  • Assist in the management of legal calendars and deadlines.

Client Interaction:

  • Liaise with clients to arrange consultations, meetings, and appointments with lawyers.
  • Maintain a high level of client service, ensuring clients feel valued and supported throughout their visit or interaction with the firm.
  • Manage client intake, ensuring necessary documentation is completed and all information is accurate.

Team Support:

  • Provide administrative support to other departments within the firm as needed.
  • Coordinate with legal assistants and paralegals to ensure smooth office operations.
  • Assist with the preparation of legal documents, forms, and reports as required.
  • Perform other ad-hoc duties as assigned by office management.

Skills & Experience:

  • Previous experience as a receptionist or in an administrative role, preferably in a legal or professional services environment.
  • Excellent communication skills, both written and verbal, with the ability to engage with clients and colleagues at all levels.
  • Strong organisational and time management skills, with the ability to prioritise tasks in a busy environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to maintain confidentiality and handle sensitive information with discretion.
