Do you have at least 5 years administrative support/project support experience? Are you looking for a flexible yet demanding role where the days fly by? We are seeking a highly experienced Project Administrator/Coordinator to provide first class administrative and project support to a senior partner for a busy and well established executive recruitment company. Previous project administration experience within a similar role essential and preferably within an executive recruitment or similar industry.

Salary £45,000- £50,000 per year. This is an demanding, full-time role which will require frequent early starts and some late finishes. Some working weeks will incorporate working additional hours. Permanent position. Monday-Friday - although a remote role, you will be required to attend one meeting a week in Winchester, Hampshire.

As Project Administrator/ Co-ordinator you will in effect be the right-hand person to the firm’s senior partner, and although you are not responsible for sourcing or interviewing candidates, you will be coordinating the recruitment process from posting job advertisements, to arranging candidate interviews, and handling contracts/invoices.

Your responsibilities include a variety of several key tasks. These include:

  • Handling multiple incoming emails and responding within a short timeframe
  • Dealing with high volumes of candidate applications - acknowledge advert responses, and recording all information accurately
  • Interview scheduling with clients and candidates over the phone/Teams/email - and remaining in regular contact with candidates
  • Providing follow up information and responses to candidates
  • Providing client reports, ensuring clients are kept updated on candidates at all times
  • General PA duties to the partner - organising diary management/travel etc.
  • Project support with the recruitment cycle
  • Drawing up contracts/invoices
  • Management information reports/client data reports
  • Weekly site meetings in Winchester

Essential skills and experience

  • You have previously worked within an administrative/project support capacity (preferably within the recruitment sector)
  • You have knowledge of managing multiple projects in fast paced environments to strict timeframes
  • You will have exceptional organisational and time-management skills and adapt easily to changing priorities
  • Highly IT literate
  • Excellent attention to detail
  • Self-motivated and used to working from home
  • Strong interpersonal and communication skills
  • Excellent written and verbal skills
  • You have supported a senior partner/director in an administrative/project capacity
