The role reports to the Education Director to ensure that the Academy Programme of Events is effectively delivered. There is a need to develop relationships with a range of individuals including course directors, faculty members, industry contacts and suppliers, accreditation bodies and exhibitors. All administrative activities associated with events will be undertaken including venue hire, accommodation and travel, catering, exhibits and equipment, publicity, enrolment and enquiries.

This role will be offered on a hybrid basis with 2 days in the Windsor office and 3 remote working days.

Salary 28,000 - 30,000 per annum, depending on experience , 28 days holiday plus bank holidays, private healthcare, employee discount schemes, training and development.

Main Duties and Responsibilities

  • Liaise with Course Director/s and work closely with them to develop and establish the scientific programme.
  • Establish the online pages for the events including general information and industry information raising awareness and effectively communicating the courses and events.
  • Invite appropriate faculty members and liaise with them to ensure that accurate information is exchanged about the Programme, that biographies are gained, and all administrative arrangements are managed effectively.
  • Research, source and book venues and facilities including catering, transport and hotel accommodation, liaising with third parties and organising equipment to ensure that the events are effectively run, and the needs of those participating are met.
  • Apply for event accreditation from the appropriate bodies
  • Build relationships and liaise with industry partners in order to secure sponsorship, funding and instruments.
  • Create and distribute course material working with the external designer e.g. programmes, flyers, hand-outs, break slides and evaluation forms.
  • Organise exhibitions that accompany a course/event working with industry, organisations, and suppliers and other third parties to ensure they are run effectively.
  • Coordinate the pre and post event process for delegates, sending out joining instructions, and dealing with the post-event evaluation survey.
  • Ensure that all presentations/videos/live case recordings and other course content is uploaded to the online library within the appropriate timescales.
  • Coordinate and supervise all on site logistics during the course; proactively ensuring that all queries are dealt with, and the objectives of the event are successfully met.
