The Job:

My client, the largest temporary traffic management company in the UK, is seeking a Scheduler/Site Coordinator to join their Urban64 team. This newly created role is crucial for providing administrative support to ensure smooth service delivery both internally and externally.

The successful candidate will be responsible for scheduling personnel and equipment, managing site activities, and maintaining clear communication between clients and internal teams.

The Company:

Our client is the UK & Republic of Ireland's leading manufacturer and supplier of mobile intelligent transport systems (ITS), we are growing and looking for more talent to join the team. Our client is the UK's only manufacturer to sell and hire traffic light equipment.

After decades of manufacturing and selling, the client became the first, and to date only, manufacturer to offer traffic light equipment for hire to the Traffic Management industry. We service the UK and Ireland, with a 30-depot network (and growing!). We are a successful, fast-paced organisation with high growth ambitions.

The Responsibilities:

  • Schedule staff and equipment for site work across the UK, taking into account geographical locations, skill sets, and working hours.
  • Book installations, repairs, and site visits by coordinating with customers and internal teams, based on availability.
  • Manage ad-hoc customer requests and ensure they are actioned promptly with the appropriate team.
  • Prepare generic RAMS (Risk Assessments and Method Statements) along with all required paperwork for each site.
  • Set up new hires in the internal system, update costs, track site attendance, and raise quotes for completed work.
  • Ensure smooth delivery by sending site-related details and updates to customers.
  • Generate and dispatch fault reports to customers as needed.
  • Maintain and update the weekly pipeline and forecast for quotes issued.
  • Communicate with internal teams to resolve any on-site issues.
  • Produce detailed performance reports for customers on site activities.
  • Investigate and address any customer invoice queries.
  • Perform general administrative tasks to support the Urban64 department.

Person Specification:

Experience:

  • A strong background in administration with experience in scheduling people, equipment, or activities.
  • Proficient in Microsoft Office, particularly Outlook and Excel.
  • Demonstrated ability to work effectively in a fast-paced environment.
